[Video introduction] Generative AI and prompt-driven reform in Shimadzu's IP operations [Koji Akutsu] [Samaria webinar]
Annual cost savings exceeding JPY 100 million
As with the move to paperless operations, reform was pushed forward by overcoming resistance.
The approach is to replace the specialized work itself—“intellectual work that can be expressed as logic”—with AI. Prompts shared throughout the company were developed.
First, translations for foreign applications were brought in-house.
ChatGPT was initially used, but inconsistent terminology and omitted paragraphs led to a switch to a large Gemini model, improving quality.
Next, AI replaced local counsel's analysis during foreign patent prosecution.
Using NotebookLM, only PDFs of the office action, cited references, and the invention in the application are provided. Restricting the information suppresses hallucinations and enables highly accurate analysis and preparation of proposed amendments in about two minutes.
For the “invention disclosures” prepared by inventors, development materials (PDFs, PowerPoint files, etc.) are entered into Gemini Deep Research. It extracts the inventive technology and organizes the problems, solutions, and effects, then automatically conducts a prior-art search and prepares claim charts based on that information.
This allows the essential aspects of an invention to be identified and searched in about 15 minutes.
Work has also begun on automating specification drafting.
Based on the invention's configuration, refined through a prior-art search, AI automatically generates the specification's “prior art,” “problems,” and “effects,” as well as embodiments and even the claims (independent and dependent).
Preparing drawings remains difficult.
For FTO (third-party patent clearance) searches, product specifications are also extracted automatically from development materials. AI (the GPT-4o API) then compares and assesses every claim in a set of several thousand patents retrieved using a broad search query against the product specifications.
This has drastically reduced the work previously requiring researchers to read 100,000 documents annually, narrowing the cases down to those the IP department needs to review (triangle and circle ratings).
“Prompts” are at the heart of these reforms.
Creating prompts means putting experienced staff's tacit knowledge (decision logic) into words and converting it into explicit knowledge.
The speaker emphasizes three measures against hallucinations: (1) selecting a model suited to the work, (2) giving instructions in very fine-grained steps, rather than only stating the goal, and (3) restricting input information to create a closed information environment.
Looking ahead, he anticipates an era in which AI will devise patent strategies from management strategies and development plans and output them together with specifications. AI cannot assume responsibility or exercise authority; humans must make the final judgments.
